What is an AI agent?
An AI agent is a program that uses a language model to carry out a defined task in your own systems. It can read an email, look up the customer and the order, and draft a reply. A chatbot answers what you ask it. An agent carries out the task itself within the limits you set, and a person on your team approves anything that is sent to customers or posted in the accounts.
A standard automation follows fixed rules. An agent can also handle text that looks different each time, such as emails, receipts and quote requests.
What an agent typically does

- Internal knowledge: answers staff from your handbooks, procedures and contracts
- Quotes: drafts a quote from the enquiry, price list and past cases

Choosing a platform
If you work in Microsoft 365, we usually build in Copilot Studio so the agent respects your existing permissions. If you are small or use Google Workspace, ChatGPT, Claude or Gemini is often cheaper. If the agent must work across many systems, we use n8n or Make. The choice of platform follows your systems.

What is the difference between a chatbot and an AI agent?
A chatbot answers questions. An agent can also act: look things up in your systems, fill in fields and prepare a case that a person then approves.
Can the agent send things by itself?
Only if you decide so. By default the agent prepares, and a person approves anything sent to customers or posted to your accounts.
Do customers need to know they are talking to AI?
Yes. Since August 2026 the EU AI Act requires transparency, so people can tell when they are dealing with an AI system. We always set up customer-facing agents so this is clear.
What does the agent cost to run?
On top of operation and maintenance, you pay the provider's usage directly. For most SMEs it is a small monthly amount. We estimate it before we build.
