What an offer from us looks like
You receive a written offer within three working days of the first call. It fits on one page and always contains the same seven points. Here is an example with made-up numbers.

1. What we solve
You receive around 40 customer emails a day in a shared inbox. Two staff members spend about 12 hours a week combined sorting them, looking up orders and writing replies. The goal is that a draft reply is ready when a staff member opens the email, and that the time drops below 5 hours a week.
2. What we deliver
- An agent in Copilot Studio that reads incoming emails, finds the customer and order in your accounting system and writes a draft reply in your tone
- Sorting into three categories: order status, returns and other, with the last routed to a person
- Approval step: nothing is sent until a staff member presses send
- Clear indication to the customer that the reply was prepared with AI
- Testing with 50 real emails together with the two staff members
- Operating documentation: what the agent does, which data it uses, how to switch it off
- A one-hour handover to the staff who will use it
3. What is not included
- Licences and usage with Microsoft, paid by you directly. Estimate: under 600 DKK a month at 40 emails a day
- Changes to your accounting system or email setup beyond the access the agent needs
- Enquiry categories other than the three named. They can be added later as a new task
4. Timeline
- Week 1: scope, access and measuring the baseline
- Weeks 2 to 3: build and test with real emails
- Week 4: adjustment, documentation and handover

6. What you provide
- An owner on your side who can make decisions and can set aside about 3 hours during the project
- Access to the shared inbox and read access to the accounting system
- 10 examples of good replies so the agent can learn your tone
7. Ownership and data
Everything is built on your Microsoft 365 account and belongs to you once paid. Personal data is only processed in your own environment. If we stop working together, the agent keeps running without us.

Why the offer looks like this
- The goal comes first: if we cannot write down what should improve and how it is measured, the task is not ready
- What is not included is just as clear: disagreements about price often come from things nobody wrote down
- Fixed price and a person who approves: we carry the risk on time, and you are responsible for what goes out
- Your contribution is named: a solution without an owner on your side stalls

No, the example is made up, but the structure and prices are the ones we use.
Can we get the offer as a PDF?
Yes. The offer is sent as a PDF by email so you can forward it internally.
What if we want to change something in the offer?
Then we change it before you say yes. That is the point of having it in writing.
